These procedures outline the requirements for reserving and using table space at SUNY Oswego, as well as guidelines for conducting approved fundraising activities. These guidelines ensure compliance with Federal, State, Local, and University policies and promote a safe, respectful, and organized campus environment.
 

All reservations and activities must comply with:

Table Space Use Guidelines

Table space is available to registered SUNY Oswego student organizations, campus departments and units, and approved off-campus groups (fees may apply). Student groups may not contract with commercial or third-party vendors to reserve table space.  
 

Commercial and third-party vendors interested in selling their goods on campus can complete the Vendor Application. All vendors must be approved, in advance, by the Department of Campus Events and Conference Services.

Reservation Process

  • Table reservations must be submitted through the EMS Reservation Portal
  • One table and two folding chairs will be assigned upon reservation confirmation. Tables must remain in their assigned location and may not be moved.
  • Registered student organizations' fundraising activities must submit a fundraising application and receive prior approval from the Office of Student Engagement and Leadership (SEL) and the Office of Campus Events and Conference Services before any promotion, collection of funds, or sales begin.

Staffing Requirements

  • Tables must be staffed at all times by members of the reserving organization.
  • Staff must remain within a one-foot radius of the assigned table. Unstaffed tables may result in the removal of materials and cancellation of the reservation.

Display Guidelines

  • All items must be affixed to the table only. Items may not be attached to benches, walls, windows, stairs, entrances, pillars, etc. 
  • All materials must be removed at the conclusion of the reservation. Organizations may be billed for removal or damages.

Bake Sales & Other Prohibited Activities

To ensure the health, safety, and well-being of our campus community, bake sales involving the sale of homemade food items are not permitted on campus.

Specifically, the sale of any homemade goods that are not commercially packaged and professionally labeled is prohibited. These items do not meet Health Department guidelines related to safe and sanitary food preparation, including temperature control, proper food handling during service, and required allergen labeling.

This policy applies consistently to all groups, including student organizations, campus departments, and external partners, to ensure equitable enforcement across campus.

Amplified sound is not permitted during tabling activities, as it can create disruptions for others sharing the space. This includes interfering with neighboring tabling groups, impacting staff working in nearby offices, and disrupting classes scheduled in the surrounding areas. Maintaining a respectful noise level helps ensure an inclusive, functional environment for all campus community members.

Conduct

Sellers must maintain polite, non-obtrusive behavior. Coercive solicitation is prohibited and may result in loss of reservation privileges.

Right to Modify or Cancel

CECS and SEL will enforce University policies to ensure the safety of all community members. Failure to follow these policies may result in CECS and/or SEL holding event coordinators responsible. This could include canceling your reservation, revoking future tabling privileges, and/or charging for any damages or cleanup. Registered student organizations may also face restrictions on future reservations.
