Ordering Transcripts

An official academic transcript includes all undergraduate and graduate coursework completed at SUNY Oswego. Transcripts can only be released at the student’s request. For international document authentication, see the Apostille process, outlined below.

Spring Break Transcript Printing

During Spring Break, March 16th - 20th, the Registrar's Office will be working remote due to maintenance in Culkin Hall. There will be no paper transcript printing during Spring Break. Transcript printing will resume again on Monday, March 23rd. Please contact us via email at [email protected].

Ordering Transcripts via Parchment

If you are applying to SUNY Oswego please have your High School send all documents to the SUNY Oswego Admissions Office. For further information please contact the Undergraduate Admissions Office at [email protected]

Students may request transcripts 24/7 online. Please note: If you send a PDF transcript to yourself, it will be considered unofficial. To ensure your transcript remains official, always send it directly to the intended recipient. For questions, select one of the following options:

Cost and Payment

Each transcript costs $7 and must be paid by credit card. Additional charges may apply for expedited or special delivery options. Note: Transcript orders must be fully authorized and completed before delivery can begin.

Ordering Features

  • Submit requests online 24/7.
  • Receive email updates about processing and delivery.
  • Upload attachments during the order process. Be sure to complete any required student sections before uploading. The Registrar’s Office will complete institutional fields, if needed.
  • Check your order status online.
  • Some orders qualify for automatic authorization.
  • Set a secondary email in your Parchment account in case your Oswego email becomes inactive.

Ordering Transcripts via MyOswego

SUNY Oswego does not accept transcript requests by phone, fax, or email, and does not fax transcripts under any circumstances.

You can also order transcripts via myOswego under the “Student Records” card. You may choose to:

  • Hold for Grades – Wait until final semester grades are posted.
  • Hold for Degree – Wait until your degree has been officially awarded.

Electronic (PDF) delivery is strongly encouraged as it is the fastest and most secure option. Paper copies and archived transcripts (pre-1990) typically take 5–7 business days.

Apostille: International Document Authentication

The Apostille process authenticates the legality of documents exchanged between participating nations. Students and alumni traveling overseas for work may be asked to provide diplomas and/or transcripts through this process. It's very important to be sure you require the Apostille before ordering. Check with your employer or school first to confirm exactly what is required.

What May Be Required

  • Some schools or agencies may only require a notarized document with a college seal.
  • Others may need an official Apostille from New York State.
  • In many cases, an authenticated e-diploma is accepted instead of an Apostille diploma. E-diplomas can be authenticated online, eliminating the need for a paper Apostille diploma.

How to Order Authenticated Documents

Diplomas

Authenticated duplicate diplomas can be ordered online through the Michael Sutter Company.

Be sure to select "Notary Service Added" during checkout.

Transcripts

Authenticated transcripts can be ordered online through Parchment. Choose "Regular Request - Apostille Transcript" and select "Myself" as the recipient. Allow up to 2 weeks for processing after submitting your signed authorization form.

Cost: $17 (includes U.S. mail).

Completing the Apostille Process

Materials requested for the Apostille process will be notarized and authenticated as follows:

  • SUNY Oswego will notarize your documents.
  • Documents are then sent to the Oswego County Clerk for authentication.
  • You are responsible for submitting documents to the NYS Department of State.

Note: If your country does not accept state-level authentication, you may also need to contact the U.S. Department of State for further authentication.
