Site Conflict Resolution Procedure

Procedure for Experience Discontinuation or Site Concerns 

In the event that a SUNY Oswego student is released from an internship or co-op experience or must leave an opportunity because of unforeseen circumstances, the following steps should be taken. The same procedures apply when a site raises concerns about a student’s performance:

Student's Role

In the event of a concern, termination, OR resignation, please immediately email your Faculty Sponsor and the Office of Experiential Learning clearly stating the circumstances. This email should include:

  • Your Site Supervisor’s Name
  • Direct contact information for the supervisor (name, phone, email)
  • The Internship or Co-op Organization name and location
  • Details surrounding the situation/concern (who, what, when, where, why)
     

Faculty Sponsor's Role

In the event you are notified (by student or site) of a Site Supervisor’s complaint about student performance, a student concern,  a student termination OR a student resignation for excusable circumstances:

  1. Please immediately contact the Office of Experiential Learning with all details surrounding the situation.
  2. Our team will contact the internship or co-op site, including the faculty sponsor in relevant correspondence.
  3. Experiential Learning will ensure direct communication between the necessary cohorts to discuss the student’s needs/next steps
  4. The Faculty Sponsor will communicate any internship credit changes to Experiential Learning.

The Site Supervisor Role:

In the event that a SUNY Oswego student is not performing at a satisfactory behavioral or professional level in an internship or co-op: 
 

  1. Please immediately contact Associate Director of Experiential Learning (Tina Phillips) with all details about the concern.
  2. The Associate Director will contact the student’s faculty sponsor and any relevant parties to best determine how to advise the Site (e.g., meetings, disciplinary action).
  3. SUNY Oswego may choose to meet with the student to discuss the consequences of poor performance within a field experience.
  4. Immediately report termination of a student to the Office of Experiential Learning via email. Notice to the Faculty Sponsor will be sent by us to ensure they are made aware of the situation and involved in any discussion.
