Project Request Information

As SUNY Oswego grows and changes on its path to Vision 4040, so too must the Office of Communications and Marketing. After a review of office operations in line with the university’s strategic objectives, we are introducing a revised approach to handling project requests and crafting creative content.

Our emphasis will now be on projects that promise the most significant positive impact for the university. This encompasses endeavors related to undergraduate and graduate student recruitment and admissions. Additionally, our commitment remains steadfast in elevating SUNY Oswego's national reputation. To guarantee a unified and compelling design that best portrays the University’s brand, the creative direction for all projects will remain under the purview of Communications and Marketing.

What does this mean for you?

You may still submit your project request. We will review your submission and one of our team members will be in touch. By submitting this request, you agree that Communications and Marketing maintains creative authority on the project. Please review the following before requesting.

Priorities

Communications and Marketing prioritizes work that has the potential to make the largest impact for the University. This includes projects that affect graduate and undergraduate recruitment and admissions, as well as those that raise Oswego's image to a state and national level. 

Creative Authority

To ensure consistent, cohesive design that best advances the University’s image, as well as content that adheres to University style guidelines, The Office of Communications and Marketing retains creative authority on all projects we develop.

By submitting a project request to our office, you agree that you understand Communications and Marketing has creative authority on the project.

Lead Time

The sooner we hear from you, the better. Sufficient time is needed for the creative process and to manage the volume of project requests we receive. Production times vary depending on the nature of the project and our workload; consider the following, general guidelines when submitting your project request. Please remember that these timeframes are estimates and start after project acknowledgement.  

Reprints or minor web edit

Examples:
Small changes to text or photos in brochures, programs, forms, websites

Time Estimate: 3 weeks (15 Business days)

Minor alterations to existing projects

Examples:
Brochures, advertisements, invitations, simple brochures, fliers, postcards

Time Estimate: 5 weeks (25 Business days)

Moderate/significant changes to existing projects or new projects

Examples:
View books, annual reports, new/large websites

Time Estimate: 9 - 14 weeks (45 - 70 Business days)

Information to Have on Hand

You will need to provide the following information on the request form, so be sure to have it on hand:

  • The account number the project is being billed to (get any approvals you need prior to submitting the form)
  • The name of the person who is our contact for billing purposes
  • Delivery instructions — where will the finished product be delivered (we need a name and a campus location)
Once You Submit a Request

We will contact you if we have questions or need to speak with you about the request. In many cases, once we receive your request a member of our staff will contact you to discuss the project in more detail.

Be prepared to answer these questions:

  • What type of project are you requesting?
  • How do you plan to use the finished piece (will it be mailed, e-mailed, handed out, posted on a webpage)? If mailed or e-mailed, do you have mailing lists?
  • If this project is part of a larger communications initiative, what are the other components and how will each be used
  • Who is the intended audience (alumni, students, parents, counselors, community members, arts patrons, athletics patrons, donors, etc.)?
  • What do you want to communicate?
  • What do you want the audience to do, think and feel after interacting with this project?
  • What is your timeline?
  • What is your budget?
  • For printed pieces, what quantity do you need?
  • Who will be our single contact person for this project?
