Canva empowers our campus with modern tools for visual communication and design. To help new users get started, we’ve gathered quick guidance and helpful tips below—explore the FAQs for more details.
Are there resources to help me learn Canva?
Yes! Here are some helpful links to get started:
Q. How do I access my Canva Team folder?
A. Each office has its own collaborative folder in Canva’s Team workspace. You’ll be added to your department’s folder, which is also accessible to the Marcom team. Designs in this folder are shared within your group, but you can still keep projects private or invite collaborators to specific files.
Q. Where can team members find branded templates and assets?
A. Under the Brand tab in Canva, you’ll find over 160+ branded templates (and growing), as well as approved logos, lockups, color palettes, photography, and other official assets.
Q. How do I get help with a template or design issue?
A. If you need a specific template, run into technical barriers, or have design questions, you can contact the Marcom team. You can also @mention a marcom team member directly in a Canva comment for quick support
Q. Can students get access to the SUNY Oswego Canva Team?
A. Generally, access is limited to faculty and staff. Student interns and employees may be granted access for the duration of their employment, if their supervisor submits a request to facilitate their responsibilities involving marketing and creative work that support recruitment, retention, and engagement efforts, and their supervisor is an active Canva Team member.
Q. If students cannot join the Canva Team, how can they still work on branded projects?
A. Faculty or staff supervisors can collaborate with students by sharing specific designs.
Additionally, students may use a public official brand asset template to ensure projects remain on-brand.
Q. What if I’m a student intern or graduate assistant?
A. Interns and GAs may be given temporary access if their responsibilities involve marketing or creative work. Key details:
- Your supervisor must accept their own Canva invitation before you are added.
- Your account will close at the end of your internship/GA position.
- At closure, ownership of your designs will transfer to your supervisor.
- If you’d like to keep copies of your projects, transfer them to a personal account before your access ends. See instructions here.
Q. What happens when my Canva account is closed?
A. When your canva account is closed :
- You’ll lose access to all designs.
- Your supervisor becomes the owner of your projects.
- You should save personal copies of any work you’d like to keep. How to Transfer Designs to a Personal Account.
- Be sure to delete any sensitive items you don’t want transferred before closure.
Q. Which email should I use for my Canva account?
A. Always use your individual oswego.edu email when joining the SUNY Oswego Canva Team. Personal or shared departmental emails are not permitted. Using individual accounts keeps projects secure, ensures proper tracking, and maintains compliance with Canva’s licensing.
Q. Can I use Canva Print for projects?
A. Yes — you can print some projects directly with Canva. Not all items/formats are printable in Canva. However, whether it’s the best option depends on cost competitiveness. Canva Print is convenient for small or one-off projects, but shipping and upgrades can make it more expensive than the SUNY Oswego Print Portal or local vendors.
- Shop Canva’s printable items at What Can You Print on Canva.

Q. Why should I switch to the central Canva team?
A. Moving to the branded central Canva team offers several key advantages:
- Access to brand-approved assets – Fonts, logos, colors, and templates are all preloaded to keep every design professional and on-brand.
- Seamless collaboration – Work in a shared space with teammates, use @mentions to get quick feedback, and request brand reviews directly from Marcom Canvassadors.
- Simplified sharing and version control – No more juggling multiple file versions or sending links back and forth. Everything stays organized in one place.
- Consistent branding across departments – Ensures that all designs reflect a unified look and feel.
- File continuity – If a team member leaves, their designs automatically remain in the team folder. This protects continuity of work—especially valuable in internship or temporary roles where projects should stay with the office or department.
Q. How do I move my current designs into the team account?
A. Follow the step-by-step instructions provided to keep all of your designs in one centralized location: How to copy designs or files to another team or account.
