Bulk Mail

If a bulk mailing is being outsourced to a different Mail House, a copy of charges/paperwork should be sent to the SUNY Mailroom.

Bar Code Program

The Mail Room requires all non-personalized Standard and First Class bulk mailings to include a bar code, either via a label or by printing the address directly on the piece. Use the bar coding program and follow its guidelines to ensure compliance and cost savings. If the bar coding system cannot be used, mail must be sorted in zip code order. The personnel in the Mail Room with break it down for the best possible rates.

For those maintaining their own address lists, save them in Excel format for PC. Ensure consistent formatting with the same number of fields for each address. Spell out county and state routes, and separate city, state, and zip codes into distinct fields. A correctly formatted example is provided below.

Standard Bulk Mail Procedures

  • Must be 200 or more pieces
  • Need the Permit #317 indicia in the upper right hand corner
  • Must be in zip code order
  • All envelopes must be sealed, or nested before sending to the mailroom
  • Must be exact weight and content
  • No international mail

The mailing must be marked with the correct function/account number.
